Introduction

This project is about an often forgotten part of business management. Accounts Receivables Management System Professional is a way to management your accounts receivable that can be as automated as possible. Simple right? And having the ability you collect these accounts makes you look good at the bank as well. All this can be automated for you and often it's all you need, a friendly reminder, to be on top of your accounts receivables.


To do this, A.R.M.S. Professional helps you define the accounts and what kind of automation you want to put on them, in order to manage them thoroughly. You make a sale, it creates an accounts receivable. From that point, if it's not paid directly, it becomes an account receivable. From that date, it can be managed. Now, I didn't stop there, an account can have up to 6 cycles that can be customizable on the number of days, percentage of interest rate and things like that.


The Cycles Of Accounts Receivables

Each account has up to 6 cycles as I mentioned, here's a rundown of these cycles as well as what can might happen at each stage. You'll soon figure out that often just reminding a customer of his account can be more then enough to set him straight.


  • Cycle 1 Accounts Receivables - 0 to 30 days - 0% Interest Rate
    This is the first cycle, at this point your letters are polite respectable, you write to basically remind the customer that you exist. This is where you can implement things like if the customer pays within the next 20 days he can save 10% of the costs.


  • Cycle 2 Accounts Receivables - 31 to 60 days - 0% Interest Rate
    This is the second cycle, at this point your letters are polite respectable but you start a warning scheme. There is still no Persentage charged on the account but you can warn that an interest rate may be coming on the account.


  • Cycle 3 Accounts Receivables - 61 to 90 days - 0% Interest Rate
    This is the third cycle, at this point your letters are polite respectable but you can show them you mean business. There is still no Persentage charged on the account but you can be firm and really warn of upcoming charges on the account.


  • Cycle 1 Collection - 91 to 120 days - 10% Interest Rate
    This is the first1 collection cycle, at this point your letters are more direct, you've patiently waited 90 days. It is now time to pay up. You started interest rate on the account. Let them know that they owe you and let them know that if they want to keep the relationship with you, they will have to pay up.


  • Cycle 2 Collection - 121 to 150 days - 10% Interest Rate
    This is the second collection cycle, at this point you can be even more firm, they are crossing a point of no return. You need to establish a payment schedule or something in the lines of that, you need this account (or accounts) to get settled.


  • Cycle 3 Collection - 151 to 180 days - 10% Interest Rate
    This is the third collection cycle, at this point your letters can be pretty much as verbal as you would be, they've had 5 months to pay and you reminders didn't help. They will either have to pay or nothing else will be possibile between the two of you.


As you can see, these default quentities are general and standard, but depending on your business, all of these can change to for your need. So if you want to break it down more quickly, it's your choice.



Automation And Management

Depemding on the type of account, all types of automation can be made to make use you can take care of all your accounts receivables. Like printing of letters to each of the accounts, automating the fact that it's age went up one day, if interaction is needed, you can force it on the stack of any one one special employee. If the customer calls, or if you receive a check you can also manage those directly from the system.


This plus the ability to take accounts from accounts receivables all the way to the end of the collection cycle with automations from all arround the management of the account you can trace whatever you need to know across the whole aanagement process you will not only know why and how the account was lost or solved. But will be able to manage it accordingly. So you don't make the same mistake twice.


Added to this the ability to interact with the account at any time and the reports will reflect that plus all the automation mentioned above, you will see that your accounts receivables will be minimized to managing thesemves, you'll just have to oversee it's operation.
